These innovative solutions place the well-functioning paper based processes into the tools of today. Nowadays computers – smart devices – are there in everybody’s pockets, which we can even use to start, approve, track and administer processes or to fill forms immediately. Instead of printing large amounts of paper, documents are filled online, which makes the process simpler, faster and more environment friendly. Our own measurements show, that it is possible to save up to 60% of time in a process and environmental goals will be achieved as well because of using significantly less paper, if we use these solutions.
It is proven, that certain factories and technologies differ a little bit from each other, even if they belong to the same business group, so the rigid, uncustumizable systems are often useless for the user. WOPES
One of our popular Smart Solutions is the WOPES electronic work permit issuing system. The system – as mentioned above – has been built in a way to comply with the requirements of regulations and management systems in order for the process to be adequately professional and to work perfectly at the same time. The online process already complies with the new data protection laws as well.
The system is able to take care of the prequalification, risk rating and hazard rating of companies in a way, that even the companies themselves can do the administration or upload the documents (for more details, contact us).
The processes can start from different directions, but defining the conditions will be always the role of the principal, in which the system also provides significant amount of support. Our professionals with many years of experience in the fields of construction and production help you with the development of conditionality mechanisms, so the system will not be dependent on the knowledge of certain professionals, because even an entrant will be easily capable of specifying all the necessary conditions after the hazard identification.
Most companies have difficulties coping with the coordination and organisation of contractors, especially in the field of construction. The 1993. XCIII. Paragraph 40. Law about Occupational Health and Safety also notes this, but this is not so easy to organise. Our system is capable of monitoring combined workflows. If there is a need for more work permits in the same area and time, then the system will indicate that the permit cannot be issued until there is no compliance with the conditions of combined workflows and until the approval of the person responsible for the coordination is missing.
Because the approval process is located online (with email notification), there is no need to walk with printed forms to the approval issuers, because they receive an email about the task immediately and they can even approve (or reject) it right away with their mobile phones. After the approvals, the system immediately sends a notification to every relevant person or organisation, which makes the process significantly faster.
The system is able to handle unique permits as well, such as Hot Work Permits or Confined Space Entry Permits. Very often, these permits are built into the work permit, so these special permits can be managed through one process, without filling in different printed forms.
The system creates reports and provides information immediately for organisations. This way, in the case of an audit or emergency, one can check the current number of companies, the number of their employees (by name, without personal data), the place of these employees and their current activity. Of course, the same thing can be done in the case of dates from years ago, or by focusing on one particular area or one specific company. MOCSS
One of the most difficult tasks for EHS departments is the tracking and managing of changes. Changes are unavoidable, because the processes, technologies, materials, individuals and conditions are constantly improving. It is one of the main condition of staying competitive, to react in the proper way and time to changes. We often experience, that we only recognise the new machines and technological lines in production during on-site inspections. Health and Safety is only involved at the handover process; therefore, the costs can grow significantly and the handovers can be delayed because of the extra EHS needs.
Our MOCSS change managing system helps at tracking, documenting and specifying conditions of projects and changes (not just in the field of EHS). The integrated management systems specifically consider the management of changes, so we can develop this process in a way, that it can be integrated into the management system to handle and document every change in time.
The approval process works similarly to the WOPES system. The approval issuers can even define conditions parallelly by specifying the responsible employees and deadlines. The system sends notifications and reports to the relevant individuals and responsible employees, which helps with tracking, properly implementing and finishing projects within deadline.
By using the MOCSS system, subsequent extra costs and delayed projects can be eliminated. Because of the online process, the paperwork will be minimal and the length of the approval process is also significantly reducible.
